Department of Administrative Communication
Description
Communication and coordination between departments and units of the Deanship with other deanships and colleges within the University and receiving emails, transactions, and directives related to the Deanship, registering them, and displaying them to the Dean then completing the specific procedures or saving them. Working on exporting and supplying the Deanship’s transactions and distributing them to relevant parties outside the Deanship .
Tasks
Receipt of internal and external incoming transactions to the Deanery and their registration.
Exporting outgoing transactions outside the Deanship via the Administrative Communications System and packaging/sending the email.Implementation of the Dean’s directive to refer transactions to internal departments within the College.
Receiving internal transactions and presenting them to the Dean.Preparing the correspondences that are difficult to send via the administrative communication program and deliver manually to the concerned departments.
Preparing communications that are difficult to send via the administrative communication program and deliver manually to concerned departments.
Archive and preserve all transactions, letters, and circulars issued and received from and to the Deanship.
Classification and storage of correspondence files, reports, and records related to the administration of the Deanship.
Preserve the original documents in files specific to each entity and maintain an electronic digital copy.Following communications forwarded to relevant parties within the Deanery and externally.
Prepare periodic and annual reports on the unit's activity.
Assigning her to undertake similar other tasks is directed by the Dean of the College.
